About the Role
We’re looking for a proactive and detail-oriented Administrative Assistant to support the Executive Office at Grubb Management. In this role, you’ll work closely with and report to the Executive Assistant, helping to ensure the CEO, President, and CIO are supported with excellence. You’ll handle essential day-to-day administrative tasks, freeing up the Executive Assistant to focus on high-level priorities.

What You’ll Do
  • Provide administrative support to the Executive Assistant and executive team
  • Coordinate and schedule conference calls, meetings, and appointments
  • Prepare, package, and manage shipping logistics (e.g., FedEx)
  • Assist with quarterly conference call logistics and documentation
  • Assist with travel schedules and submitting expense reports
  • Help organize and send seasonal communications such as holiday cards
  • Maintain and update contact lists, mailing lists, and internal databases
  • Support the preparation and formatting of executive publications and presentations
  • Assist with event logistics and coordination
  • Perform general office duties such as filing, printing, binding, and supply management
  • Handle confidential information with discretion and professionalism
  • Take on additional administrative projects as assigned
What You Bring
  • 2+ years of administrative or office support experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience with Concur would be a plus
  • Ability to manage multiple tasks and deadlines with accuracy
  • A proactive, can-do attitude and willingness to learn
  • Experience supporting executives or working in a corporate environment is a plus
